Stop running repairs on WhatsApp. You will need that trail later

WhatsApp feels quick until you are in a county court bundle trying to prove who said the boiler was fixed, and on which Tuesday.

WhatsApp is a fine way to tell your sister you are ten minutes late. It is a rotten archive for a leaking cylinder. Messages vanish when someone gets a new phone. Photos compress. The tenant's cousin joins the chat. You scroll for twenty minutes looking for the date the plumber said he bled the radiators.

Then a dispute arrives. Deposit, damp, possession, a council officer. Suddenly you need a trail that shows who reported what, when you answered, who attended, and whether the job actually closed. A green tick is not that trail.

Where informal chat fails landlords

  • No property on the message, so three houses blend into one thread.
  • No status, so "sorted" means different things to each of you.
  • No access notes, so the engineer is standing in the rain again.
  • No privacy, because your personal number is now a 24-hour helpdesk.

Out-of-hours emergencies are real. Give tenants a clear rule: gas leak, no heat in freezing weather, flood, call this number. A dripping tap on Saturday afternoon can wait until Monday. If you never say that, they will ping you during your niece's birthday and you will sound snappy, which helps nobody.

What a usable maintenance record contains

Date and time of the report. Plain description. Photos that still have pixels. Whether it is emergency, urgent, or routine. What you did next. Who you sent. When it was completed. If the tenant disagrees, that belongs in the same place, not in a parallel sulk.

This is also how you spot patterns. The same extractor failing every winter is a replacement, not another bottle of bleach. Mould complaints need that history more than almost anything else.

Email is only a small improvement

A dedicated inbox is better than your personal chat. It still turns into a swamp without structure. You will search "boiler" and get forty forwards from 2023. Threaded requests, one per job, beat a mailbox the same way a labelled cupboard beats a pile on the floor.

Talk like a professional without sounding like a council letter

You can be warm and still write things down. "Thanks, I have logged this and the plumber is booked Thursday 10 to 12, please keep the cupboard clear" is both human and useful. "K" is neither.
